What should I do today? A merchant routine for orders, stock and payouts
Build the day around exceptions rather than notifications: customer decisions, blocked parcels, stock discrepancies and money to reconcile. Use a phone-and-team routine with assigned owners, completion evidence and adaptable timing and financial examples.

Opening every management page does not by itself improve a merchant’s day. Work becomes clearer when people know which case needs a decision, who owns it and what proves completion. Begin with exceptions blocking a customer, item or payment, then process normal work. This routine should fit your volume and team. It promises neither one universal duration nor the need to watch a phone continuously.
Check access and context before acting
Confirm account, store and permissions, especially when helping several businesses. Check whether a colleague already changed an order before calling again or preparing another parcel. An old screenshot or stale list is not current evidence. With a weak connection, verify that saving succeeded rather than repeatedly pressing controls without understanding the result.
On a phone, test alerts without treating them as the only record. Android notification-permission documentation explains one setting that affects display. Regularly review the order list too and agree coverage periods. A notification sound should not become an expectation of an immediate response at every hour.
Sort by the blocking next step
First handle information needed before courier collection: missing address, choice or amount. Then confirmed orders ready for preparation, followed by follow-ups whose time has arrived. Age alone is insufficient: a batch leaving shortly may take priority over an older case legitimately awaiting a response. Every case needs a specific next action rather than a vague follow up later note.
An incomplete address requires an assigned clarification, not an arbitrary ready status. An unavailable colour needs an agreed alternative before substitution. A changed amount requires a record update and preparation handover. Closing a task should not conceal the problem; the next person must understand what changed and which action is appropriate.
Make handovers concise and usable
Attach an order reference, owner, action and review time. Record the last contact and agreement without duplicating an entire conversation. Store selections in suitable fields when available rather than leaving essential facts in side messages. Specify who may change amounts, cancel or approve exceptions. Sharing an owner account is not a substitute for assigning appropriate access.
You can organise orders and team work with Matjri using mobile features available to the account. Test actual permission boundaries. Assigning an order does not automatically calculate every financial relationship between colleagues; wages and contractual arrangements need their own appropriate records.
Before dispatch: match three things
Match the order, physical item and label for reference, quantity, selection and collection amount. Include gifts and bundle accessories rather than checking only a generic product name. Put failed checks into a holding area instead of dispatching them to avoid slowing everyone else. A small correction can prevent lengthy follow-up, but there is no universal guaranteed saving to attach to it.
| Case | Next action | Completion evidence |
|---|---|---|
| Incomplete address | Private clarification | Updated understandable detail |
| Missing selection | Customer and stock confirmation | Clear combination before packing |
| Blocked parcel | Courier review | Outcome or dated follow-up |
| Short payout | Reference and fee reconciliation | Explained discrepancy |
Review stock through movements
Choose a small set of important references regularly. Compare physical quantities with records while separating reserved, shipped and uninspected returned goods. A courier return status does not mean physical receipt. Investigate discrepancies and record a reasoned correction rather than changing a figure merely to silence a warning.
In a fictional example, records show twelve units: nine are on the shelf, two in reserved parcels and one isolated for inspection. That may explain the total if its definition includes them, or reveal a difference under another convention. Agree what each balance means before correcting it. More counting without stable definitions repeats the same problem.
Reserve a financial review window
Assume 680 TND expected for identified references, 642 TND received and 30 TND documented fees. The remaining 8 TND needs explanation. Do not label it another fee without evidence. Record references, amount, date and owner and follow the courier agreement. Capture daily expenses with receipts too rather than reconstructing margin from memory.
For electronic payments, distinguish transaction status from bank transfer. Flouci’s settlement guide shows provider-side tracking. Review your own terms. A successful order does not establish funds already in the bank or imply that every provider detail automatically appears in store management.
End with five pieces of information
Record actual dispatches, pending decisions, stock changes, unresolved money and tomorrow’s owner. A fictional schedule could allocate fifteen minutes initially, twenty before dispatch, fifteen for finance and ten for closure: one distributed hour. This is not a benchmark. If time continually grows, investigate recurring problems or allocation rather than quietly adding hours to one person’s day.
Must every order be reviewed daily?
Not necessarily. Review cases requiring action according to deadline and risk, with regular oversight to prevent disappearance. Explicit sorting beats randomly opening every record.
What happens when an employee is absent?
Provide an authorised replacement and a record explaining the next step. Work should not depend on the absent person’s password or memory. Recheck access when roles change and protect information the replacement does not need.
What is the smallest useful improvement?
Take three pending cases today and assign an owner, next action and completion evidence. If a colleague can understand them without another call to you, you have built part of a routine worth expanding.
