Size exchanges and parcel returns: organise the complete workflow

Treat an exchange as an operation linked to the original sale, with a returning item, a replacement and any financial adjustment. A second shipment does not automatically create a second full sale. Do not restore stock before receiving and checking the return. Begin with the reason and customer agreement, then confirm what the carrier can actually do. A change of preferred size is different from an incorrectly packed item or damaged goods.
Understand the reason and applicable conditions
Ask for the order reference, item received and requested option without collecting unrelated personal documents. Distinguish a changed preference, a mismatch with the order, a defect and transport damage. Classification helps organise the response; it should not be used to disregard a right applying to the situation.
Review the Tunisian Ministry of Commerce consumer information and terms relevant to your activity. Avoid a blanket rule making customers pay every fee in every situation, or unconditional promises that ignore relevant limits. Check applicable rights and timeframes before publishing a fixed policy.
Confirm the arrangement before preparing the replacement
Verify product, colour, size, quantity, whether the price is unchanged and how any service charge is handled. Check the physical availability of the requested combination. Size L appearing in a menu does not prove the same colour exists in L, and an old stock photograph does not establish availability today.
Send a summary containing the original reference, returning item, replacement, agreed amount and next step. If you dispatch the replacement before receiving the original, understand the stock and cash exposure and what happens if it never returns. Do not assume the driver inspects size and condition at the door unless that service is confirmed.
Connect two separate logistics journeys
Keep the return tracking and replacement tracking separately, linked to the original order or case reference. Ask about the exchange procedure and charges; the INTIGO parcel and return information can inform questions before confirming your own arrangement. The word exchange does not guarantee simultaneous collection and delivery.
- Create a case reference and record the reason.
- Confirm item, terms and money with the customer.
- Reserve the replacement through your chosen record.
- Create shipment references under the confirmed service.
- Track return, replacement and settlement separately.
If the original parcel has not yet been delivered, the issue may be a stop or correction in transit rather than a post-receipt return. Check before generating two more labels. Extra shipments cannot resolve an event that is still misunderstood.
A worked example: an exchange is not another full sale
A fictional store sold a shirt for 48 TND with 7 TND delivery, making 55 TND. The customer requests M to L at the same product price. In the teaching example, replacement shipping costs 6 TND, return service 2 TND and packing 1 TND: 9 TND total. These are not carrier prices and do not determine who legally bears the charges.
If a 3 TND service amount is agreed in a situation where appropriate, the store’s remaining burden is 9 − 3 = 6 TND before other costs. Do not recognise another 55 TND sale merely because L is shipped. Where replacement prices differ, record the actual agreed difference and how it was paid or refunded.
| Item | Record | Avoid |
|---|---|---|
| Original order | Retained sales reference | Duplicating full revenue |
| Replacement shipment | Linked movement and charges | Hiding its cost |
| Return | Expected, then received and inspected | Restocking prematurely |
| Additional amount | Agreement and evidence | Calling it net profit |
Receive the return before deciding its stock status

The diagram summarises the physical return journey. An exchange adds a replacement and financial agreement, so one status cannot explain the whole operation.
Check reference, actual piece, choices, quantity and condition. If M returns saleable, add it once after inspection while L has its own exit movement. Do not deduct L twice or recreate M when the carrier merely announces a return. Damaged or unresolved items remain isolated rather than becoming available to the next buyer.
Close the customer, stock and financial records
Confirm that the replacement was delivered or another solution completed, the original returned or its absence was addressed, and any price difference, refund or charge has evidence. Record refunds according to the amount actually paid with their reference. A promise to transfer money is not a completed settlement.
Matjri order and product tools can organise the operation’s references. Check your fields and keep a supplementary record if the tool does not automatically connect every stage. For colour and size, do not assume complete matrix-level stock deduction without checking available behaviour.
After closure, review the cause: missing measurements, an incorrectly packed item or changed preference. Improve what the evidence supports. Useful classifications distinguish packing errors from product-description issues instead of creating broad accusations about customers.
Questions about exchanges and returns
Should I create a new replacement order?
If your tool needs a new document, link it to the original and identify it as a replacement in tracking and accounting. Do not record the same retail revenue twice without a genuine second sale.
Does every return become available stock?
Only goods physically received, inspected and accepted for sale, under the correct combination. Damage, shortages and differences need separate treatment rather than disappearing into an aggregate adjustment.
What simple improvement can I make first?
Before closing a case, ask where the return is, where the replacement is and what money was paid or refunded. Apply those three checks to the last completed exchange and verify each piece of evidence.
